Advantages of purchase orders: spending control (purchases get approved before money is committed), a locked reference for prices and quantities (which catches billing errors), clean receiving (goods checked against a list, not memory), an audit trail for accountants and tax, legal clarity if a dispute happens, and better data — knowing what's on order is half of accurate inventory planning.

Disadvantages, honestly: admin overhead (each PO takes time to raise and approve), slower urgent purchases if approvals bottleneck, and 'PO fatigue' when businesses force the process onto trivial buys — which drives people to bypass it entirely.
