Squarespace Inventory Sync: Keep Stock Accurate [2026]

Keep Squarespace inventory accurate with VNDLY. Choose sync direction, control stock by location, and avoid promising stock twice when orders are open.

Squarespace makes it easy to make a store look polished. Inventory gets harder when that store becomes a real product business.

At first, changing a stock number in the Squarespace Products panel is enough. Then you add variants, a second storage location, a wholesale order, or a product that sells through another channel. Now the number on the product page is only useful if it reflects what is actually available to sell.

That is the job of the VNDLY Squarespace integration. It gives your team a place to manage products, locations, pricing, and available stock, then lets you push the right product and inventory data back to Squarespace.

Squarespace itself organizes stock at the product-variant level. Its inventory tools show SKU, price, stock, and visibility, and stock drops after a purchase. It also supports cart reservations, which can temporarily reduce what other shoppers can buy before checkout. That is helpful for a single storefront. The operational challenge starts when stock must reflect more than one sales process. Squarespace’s inventory guide explains the storefront side of that workflow.

Why Squarespace inventory drifts in a growing store

Most inventory trouble is not caused by someone being careless. It comes from using one number for several different jobs.

A product business may need to know the physical quantity in a warehouse, the quantity promised to unshipped customers, the quantity at a specific location, and the quantity safe to display online. Those are related, but they are not identical.

Here is a simple example. You have 18 units on hand. Five units are already on confirmed sales orders that have not shipped. Listing 18 as available online creates a risk: a new Squarespace customer can buy stock that has already been promised elsewhere. Listing 13 is more honest.

Squarespace can manage product stock and low-stock alerts within its own store. But when your inventory is spread across warehouses or sales channels, the more useful question is: what can this store sell right now?

VNDLY is built for that question. Its Squarespace sync calculates an available quantity for mapped variants by taking inventory movements and subtracting quantities on unshipped sales-order lines. It never pushes a negative number. That helps keep storefront stock tied to operational reality instead of a manually maintained guess.

⚡ The important distinction

VNDLY syncs available stock, not just a raw warehouse count. Unfulfilled quantities on active sales orders are deducted before a mapped variant is updated in Squarespace.

What VNDLY syncs with Squarespace

The integration is deliberately configurable. In Settings → Integrations, each connected Squarespace store has a Products direction selector with three choices:

  • VNDLY → Squarespace
  • Squarespace → VNDLY
  • Bidirectional

Choose the direction before running a product sync. That small decision matters because it tells the team which system is being treated as the source for that particular job.

Importing products from Squarespace into VNDLY

When you choose Squarespace → VNDLY and run Sync All, VNDLY imports Squarespace products and creates mappings so it can recognize them again later.

For a new product, VNDLY imports the product name, description, visibility status, image URLs, and tags. A visible Squarespace product comes in as active; a non-visible product comes in as archived. For variants, VNDLY imports the SKU, the variant label where available, and the base price.

SKUs matter here. VNDLY uses them to avoid creating duplicate variants, while product names are also checked to avoid duplicate products during import. If a Squarespace variant has no SKU, it cannot be created as a VNDLY variant through this flow. That is not a random technical quirk. A stable SKU is what makes a catalog safe to match across systems.

This is a good moment to clean up an old catalog. If two color variants share an unclear name but have no distinct SKUs, fix that before you make either system the master. You will save yourself a painful reconciliation later.

Pushing VNDLY products to Squarespace

When VNDLY → Squarespace is selected, VNDLY reads your products and variants, then checks Squarespace for existing SKUs.

If it finds a matching SKU, it updates the Squarespace product. If it does not, it creates a physical Squarespace product on the first available Squarespace store page. The outbound product payload includes the product or variant name, description, tags, visibility, SKU, price, and stock quantity. Product variants are represented with a Variant attribute when VNDLY has a variant title.

VNDLY also maps weight and dimension units for the outbound product data. Grams, pounds, ounces, and kilograms are handled for weight; inches and centimeters are handled for dimensions.

Pushing inventory by location

The Inventory Locations section lets you choose which VNDLY locations feed a specific Squarespace store. Select none and all locations are included. Select one or more and only those locations contribute to the inventory number sent to that store.

That is useful when one Squarespace store should sell from a dedicated ecommerce warehouse, while another channel is supplied from a different location. It prevents one storefront from advertising stock that is reserved for another market.

Press Sync Inventory to push inventory for all mapped variants. VNDLY reads the current quantity in Squarespace, calculates the difference from the VNDLY available quantity, and sends the needed adjustment. Squarespace’s own Inventory API is built around reading and adjusting stock for product variants, which is why the sync works at the variant level rather than as one broad product total. Price lists and product images

Each connected store also has a price-list mapping area. You can choose a default sales price list and map currencies to specific VNDLY price lists. This matters when the price you show online should not simply be the default price kept internally.

There is also a separate Sync Images action. VNDLY gathers the primary image and gallery images for mapped products, skipping images already hosted on the Squarespace CDN or the store domain, then pushes the remaining images to Squarespace. Keeping images as a separate action is practical for a large catalog: you can fix stock urgently without waiting for a product-photo pass.

Setup walkthrough: connect a Squarespace store to VNDLY

You do not need an OAuth maze for this connection. VNDLY connects with a Squarespace API key.

  1. In Squarespace, create an API key under Settings → Developer API Keys. Squarespace requires authenticated access for its Commerce APIs, and permissions determine what the connection may read or change. Its authentication documentation is worth checking before you create a key.
  2. In VNDLY, open Settings → Integrations.
  3. Find the Squarespace card.
  4. Paste the key in the API Key field and choose Connect Squarespace.
  5. Open the connected-store card and choose a Products direction.
  6. Set the Web Order Prefix if you want a recognizable prefix for web orders. The default shown for this connection is SQ-.
  7. Select the Inventory Locations that should feed this store. Leave them blank only if every location should contribute.
  8. Choose a default sales price list or currency-specific mappings if needed.
  9. Run Sync All for the product workflow, Sync Inventory when you need stock pushed, or Sync Images when product visuals need updating.

After a sync, the card shows Last sync and progress feedback. VNDLY records sync results, including how many records were synced, how many failed, and any returned errors. That is important. A sync button without a result trail is not an operational system.

The Squarespace connection reflects that philosophy. You choose which locations supply the store. You choose the product direction. You can use the price list intended for that channel. Then you review the result.

What the current integration does not do

Clear limits are better than vague promises.

The current integration focuses on product catalog, available inventory, price-list selection, and image workflows. Sync All handles product import and/or product push according to the direction you selected. Sync Inventory is a distinct outbound action. Importing products from Squarespace does not create inventory events in VNDLY, so do not treat a catalog import as an opening-stock import.

It also does not currently pull Squarespace orders into VNDLY as sales orders. Plan your order process with that in mind.

For outbound products, VNDLY creates physical products in Squarespace. Squarespace supports other product types, including downloads, services, and gift cards, but the VNDLY product-creation flow is for physical goods. Squarespace also notes that its inventory API does not cover every product type or every piece of variant information. Read the API limitations in Squarespace’s documentation.

Finally, the connection starts with manual sync actions. That is useful during setup because you can inspect mappings and outputs before treating the connection as part of a regular operating routine.

Can VNDLY import Squarespace products?

Yes. With Squarespace → VNDLY selected, VNDLY imports new product details including names, descriptions, visibility, image URLs, tags, SKUs, variant labels, and base prices. Variants need a SKU to be created through this import flow.

Does VNDLY sync Squarespace inventory by variant?

Not in the current Squarespace integration workflow. It focuses on products, inventory, price-list selection, and images. Squarespace orders are not currently imported into VNDLY sales orders through this connection.

How many Squarespace stores can I connect?

VNDLY’s connected-store allowance depends on your plan: Starter includes 2 ecommerce stores, Professional includes 10, and Enterprise has unlimited connected stores. These limits apply across connected ecommerce stores, not only Squarespace.
